Forwarding Mail

For individuals that are no longer at the University or for individuals that have changed their location on campus, campus departments should complete a "Change of Address" card. "Change of Address" cards are available from Distribution Services.

Moving To Campus

When moving to campus it is suggested that you fill out an 'Official Mail Forwarding Change of Address Order' with your local post office. Please use your correct on-campus address when making this change. Using an incorrect or insufficient address can lead to delays in the delivery of your mail.

Moving Within Campus

When changing your mail delivery location on campus it is your responsibility to contact all correspondents individually and notify them of your new campus address. 'Change of Address' cards can be obtained from Distribution Services. Once filled out, these cards can be mailed to all of your correspondents to inform them of the change. The Post Office and Distribution Services will not accept 'Official Mail Forwarding Change of Address Order' cards for individuals moving within the campus community. In addition, please contact Distribution Services at warehouse@calpoly.edu and notify us of your impending move.

A Few Things To Remember When Moving Within Campus:

  • Each contact, magazine, subscription, etc. must be notified of your new address individually.
  • Distribution Services distributes campus mail by department name; not by an individuals name, title, or room and building number.
  • The Post Office and Distribution Services do not accept 'Official Mail Forwarding Change of Address Order' cards for individuals moving within campus.
  • While notifying Distribution Services of your impending move is beneficial in the short term, it is not a long term solution to your mailing needs.
  • If you are part of a department that is spread campus-wide (e.g. ITS), please use the department name located on your green inter-campus mail bag.
  • Make sure to have your name removed from mail that is to continue going to your previous department. 'Change of Address' cards can be obtained from Distribution Services.
  • You can always notify a specific correspondent of the impending change of address through other direct means such as phone calls, bill notifications, etc.

Moving Off Campus

When moving away from campus it is your responsibility to contact all correspondents individually and notify them of your new off-campus address. 'Change of Address' cards can be obtained from Distribution Services. Once filled out, these cards can be mailed to all of your correspondents to inform them of the change. The Post Office and Distribution Services will not accept 'Official Mail Forwarding Change of Address Order' cards for individuals moving out of the campus community.

A Few Things To Remember When Moving Off Campus:

  • Each contact, magazine, subscription, etc. must be notified of your new address individually.
  • Mail that continues to reach campus after your departure will be delivered to the department indicated on the mail piece. If a department is not available, the mail piece will be returned to sender.
  • The Post Office and Distribution Services do not accept 'Official Mail Forwarding Change of Address Order' cards for individuals moving from a campus address to an off-campus address.
  • You can always notify a specific correspondent of the impending change of address through other direct means such as phone calls, bill notifications, etc.
  • Distribution Services does not maintain a forwarding list or previous department list for individuals who have left campus.
