Cal Poly Surplus

Cal Poly Surplus supports departments by responsibly disposing of excess property, e-waste, and reallocating surplus items. We aim to make the surplus process efficient, compliant, and environmentally conscious. Whether you’re looking to dispose of old equipment or take advantage of available items, our internal services are designed for you. When surplus items are sold, departments may receive a portion of the proceeds if the sale of the items is over $500.


How to Surplus Cal Poly Property

At Cal Poly, the Surplus department is the only authorized unit responsible for overseeing the disposal, resale, and redistribution of excess University property. Surplus determines the appropriate method of disposal and manages the final sale or redistribution of items. All property disposals are under the purview of Surplus to ensure compliance and maximize re-use.

On-Campus Pickups & Drop-Offs

Request pickup of surplus items or schedule a drop-off using the links below.

  • Campus Pickup Requests are a recharge service submitted through PlanOn; you’ll need to provide your department’s chartfield string.
  • Clearly mark all items and have them ready for Surplus at the time of request submission.
  • Pickup requests are completed in the order they are received.
  • Abide by all Property Tag and E-Waste guidelines outlined below.

State Property Tag Guidelines

Tagged state property must be surveyed by Property Accounting before Surplus pickup or drop-off.

  1. Submit a Request to Survey .
  2. Wait for approval from Property Accounting. Once approved, you will receive a PSR document to include with your surplus items.
  3. Submit a Campus Pickup Request or schedule a Drop-Off Appointment.

Pickup or drop-off of state-tagged items without prior survey approval will be refused.

E-Waste Guidelines

  • Cal Poly Surplus manages all e-waste disposal (cables, computers, laptops, monitors, TVs, etc.).
  • For hazardous waste (batteries, chemicals, lightbulbs, etc.), visit Environmental Health and Safety.
  • If you live in on-campus student housing, please use the e-waste and battery containers found next to the student mail centers; Surplus collects these.

Public Surplus Sales

When surplus items are sold on Public Surplus, the originating department will receive a portion of the revenue if the sale exceeds $500. Items sold under $500 do not generate revenue for the originating department.

  • Cal Poly employees are welcome to bid on Public Surplus items for personal use.
  • Use of work hours to bid, inquire, or pick up items is prohibited. Please use break, lunch, or personal time.
  • Employees still must adhere to ALL terms & conditions on the Public Surplus auction site.
Non Surplus Moves

Moves not related to Surplus disposal (such as moving items between rooms) are handled by Facilities Services.

On-Campus Reallocation

In accordance with the Surplus department’s goal of reuse, items surplused by departments are made available through the On-Campus Reuse Site. Departments may also request items listed on Public Surplus for departmental use. Learn more below.

Campus Reuse Process

The Surplus staff maintains an inventory of items available for campus reuse. This inventory updates as new items arrive. Items are typically used, but serviceable. If your department can use an item found on the Reuse Site, please complete the Campus Reuse Request Form.

  • To look at listed items in person at the Surplus Warehouse, schedule a Visitation Appointment
  • To request items from the On-Campus Reuse Site, complete the Campus Reuse Request Form.
  • To request items from Public Surplus, email surplus@calpoly.edu with the auction number of interest.
    • Items on Public Surplus will not be removed within the last 24 hours of an auction.
    • Campus reallocation requests for auctioned items must occur before any other bids are placed.

All items must be for on-campus use — not for personal possession.
